Dates, the email, and how the subscription behaves
Correction, 2026-10-28, after you flagged it. Your custom emails are real, and I had looked in the wrong place for the refill one. Checked live today: Shopify's Shipping confirmation, Order confirmation, Out for delivery and Delivered are all stock Shopify code (read in full, no CHL edits), and the shipping email WebBee sends the customer on all 25 of the last 25 orders is that stock one. Your custom emails are: the Recharge refill email "Your next bottle is on its way" (flow "Upcoming Order Email - 5", active, goes out 3 days before each refill charge, has not fired yet because the first refill is not due until Nov 25); the duplicate-order cancellation email (a branch in Shopify's Contact customer template, sent by the guard); and the abandoned-checkout emails. So a first bottle gets the stock Shopify shipping email, and a refill gets your custom Recharge email. The upgrade note belongs in both. Section 2 now shows both: the first-bottle shipping email rebuilt in the dark green design (the stock look is rejected) and the refill email in your Recharge design.
1. Can the existing subscribers' dates be moved?
Yes. Recharge sets each subscription's next charge date through its API, and the order and shipment follow the charge. Our token has that permission (checked today).
- 285 active subscribers today. All are the 60-cap, every 2 months, $50.99 refill. Each is due exactly 60 or 61 days after signup (236 at 60, 49 at 61), so none has been moved by a customer. Earliest due Nov 25, latest Dec 28.
- Proposed: move each one 4 days earlier. New dates run Nov 21 to Dec 24: 9 in Nov 21-30, 10 Dec 1-7, 96 Dec 8-14, 119 Dec 15-21, 51 Dec 22-31. None lands in the past, and every one has a queued charge.
- Why 4 days: delivery after a charge is a median 4.1 days and 6.0 at the slow end. A charge at day 60 lands around day 64 to 67, and the first bottle (delivered about day 4) is empty around day 64. A charge at day 56 lands around day 60 to 62, so the refill arrives 0 to 4 days before the bottle runs out instead of up to a few days after.
- Safe: the old date of each one is saved first, so moving back is the same call. A subscriber who has moved their own date is left alone. Recharge's own "upcoming order" email (3 days ahead) follows the new date by itself.
- Not urgent: the first one is due Nov 25, so the moves can be done any day before about Nov 17. A list of subscription ID, current date and proposed date is written (no names or emails); nothing has been applied.
Day 0Order placed
Day 4First bottle arrives (median)
Day 56Refill charged and ordered (was day 60)
Day 60Refill arrives (was day 64 to 67)
Day 64First bottle empty
2. The emails they get
Updated with Kevin's copy and his two adjustments. "One-time" and the real next billing date are prominent. It says "next billing", not "first refill", and it no longer promises day 90 because the charge is set for about day 86. Paid orders show the price and "Upgrade included at no extra charge" instead of "Free". The shipping email below is live. The card stays hidden until an order is tagged.
Shipping email (LIVE): first bottle and refill
First bottle (free)
Refill (paid)
- Shopify sends this when WebBee marks the order shipped. Fake sample customer.
- The next billing date comes from a tag my billing script puts on each upgraded order, and the same script sets that date in Recharge. If the date is ever missing, the card still shows, just without the date.
- No order is tagged yet, so no customer sees the card yet.
Refill: your custom Recharge email (not live yet)
This is "Your next bottle is on its way" in your After Dark design, sent 3 days before each refill charge. The third box becomes "Next billing" and the item line gets the same "Upgrade included" line. One open problem: Recharge's email has no field for the charge after this one, so I need another source for that date before the first refill emails go out around Nov 22.
Today (as live)
With the upgrade
- Recharge cannot tell this email which refills ship as a 90, so while the 60s are out the card is on for every refill and goes off when they are back.
How well the new emails match our other designs
Left to right: the live abandoned-checkout email, the live refill email, the refill email with the upgrade card (not live yet), and the live shipping email with the upgrade card.

- All four use the same dark green, serif headline with the lime italic second line, small-caps labels and outlined boxes. The duplicate-order email is the same family too.
- One small difference to decide: the upgrade card's bright lime outline is louder than the other boxes. I can quiet it to match.
3. How it works when they signed up for a 60 and get a 90
The subscription stays a 60 on paper. Nothing about it is edited. Only two things change: what goes in the box, and when the next charge falls.
- What they agreed to: L-Methylfolate 60 Capsules, free first bottle, the refill every 2 months. All 285 subscriptions are exactly that, and they stay exactly that. No variant swap, no new plan, no price change.
- What ships: while the 60s are out, an order for the 60 goes out as the 90 (one SKU mapping in WebBee, flipped back after restock). Checkout and the order confirmation still say 60. The shipping email says 90.
- What they are charged: the same as always, so the first refill is a free upgrade from 60 to 90 capsules.
- When: a small script on this host moves the next charge to day 86 on an upgraded order (day 56 on a normal 60 order), once per order.
A new buyer, start to finish
Day 0Checkout shows the 60, first bottle free. Order confirmation as today.
Day 1 to 2Ships as a 90. Shipping email carries the upgrade note.
Day 4The 90 arrives. It lasts to about day 94.
Day 86Refill is ordered. If the 60s are back it ships as a 60, otherwise as another 90 with the same note.
Day 90Refill arrives before the 90 runs out. The next charge is set by what shipped: day 86 again after a 90, day 56 after a 60.
An existing subscriber
Their 60 is already on its way or in hand. The first refill moves 4 days earlier (day 56 or 57) and ships as a 90 with the note. The charge after it is set to 86 days later. After that, if the 60s are back, it is the normal cycle again.
What still says 60
- The Recharge customer portal and the "upcoming order" email list the product as 60 Capsules, with the new date. The shipping note is what explains it.
- Shopify's 60-cap count keeps going down (it is already oversold), while the real 90s are what leave Amazon. The two counts will drift apart until a count is corrected after each batch.
- The subscription policy page says the first refill ships 2 months later. The upgraded buyers get theirs later and the 285 existing subscribers get theirs about 4 days sooner, so a line like "before your bottle runs out" would make the page match.
Needs your word
- OK to move the 285 existing dates 4 days earlier (any day before about Nov 17), and to ship their first refill as a 90.
- Email A or B.
- Who flips the WebBee mapping. The WebBee screen does not load in the saved browser here, so someone on your side opens it, or I build an order-edit workaround.
- Real 90 stock and the restock date. 192 on hand covers about 11 days of new orders, and about 1,400 are needed by Dec 31.
The full plan
Plan v2 as first written (2026-10-28). Where it differs from the answers above, the answers above win.
Operator (late 2026-10-28): changed his mind. No page, copy, image or ad change. Upgrade customers to the 90: email them each time something ships ("Hey good news, you've been upgraded to a 90. You won't be rebilled at the 60-day mark. You'll be rebilled at the 90-day mark on your first rebill."), let them use the full 90 days, then the next refill goes back to 60. Also: the refill must go out a few days before the bottle runs out and arrive within a few days of it, never a week late; make sure billing is set up like that. This replaces the page-switch plan (kept as PLAN-v1-page-switch.md); the questions about the one-time price, the 3-month Recharge plan and the page/photo work no longer apply. The earlier "hide the variations from the store" request still stands (see the end).
What I measured today (read-only)
- First refill today: exactly 60 to 61 days after the order for all 282 active subscribers (all on the 60 variant, $50.99). Due dates: 10 between Nov 25 and Dec 7, 33 Dec 8-14, 126 Dec 15-21, 112 Dec 22-31, the rest in January.
- Delivery time, 288 real orders from the last 35 days: order to shipped median 1.4 days (p90 3.1); shipped to delivered median 2.3 (p90 3.8); order to delivered median 4.1 days, p90 6.0, worst 6.9 (57 shipments with a delivery scan; most orders go Amazon Logistics or USPS).
- So today a refill charged on day 60 arrives around day 64 to 67 while the first bottle (delivered about day 4) lasts until about day 64: usually 0 to 3 days of gap, up to about a week when delivery is slow and the first bottle came fast. That tail is the lapse to remove.
- Orders reach Amazon through the WebBee app (tags "Exported To Amazon by WebBee App", "Amazon Status - Processing"); there is no Shopify-side fulfillment service. The 90 SKU (13) shows 192 on hand in the same location but has never been on an order.
- Recharge token has write_subscriptions, write_orders, write_plans (verified from /token_information), so billing dates can be set by API.
How it works
- Switch: while the 60s are out, every order that contains the 60 (SKU 12), a new free bottle or a refill, is fulfilled with the 90 (SKU 13). Preferred: one WebBee SKU mapping (Shopify SKU 12 to the Amazon 90-count SKU), flipped back when the 60s are restocked. The customer-facing order still says 60 Capsules; the box has 90. Fallback if WebBee cannot do it: our own automation edits the order line to the 90 before the export. The WebBee screen does not load in this host's saved Shopify browser (known Shopify admin CDN/IPv6 issue), so the team needs to open it or I work around the browser.
- Flag: orders created while the switch is on get the tag "Upgraded to 90".
- Email: the Shopify shipping-confirmation email gets a block that shows only on tagged orders. Draft (no price, no "card" wording, per the 2026-09-29 rule; he wrote "rebilled", a one-word change): "Good news, you've been upgraded to a 90. Your bottle has 90 capsules instead of 60, so your first refill comes at the 90-day mark instead of day 60." Existing "How your refills work" card needs a matching line.
- Billing: a small steward on this host (same pattern as the free-bottle guard, every few minutes, dry-run first): when a new order appears for a subscription it sets the next charge once, to the order date + supply days - 4. Upgraded order: day 86 (90 capsules). Normal 60 order: day 56. The 4 days = the p90 delivery time minus the cushion, so the new bottle lands about 0 to 4 days before the old one runs out. After the upgraded refill the plan resumes its own every-2-months schedule (60 again). It only acts on a new order, so a customer's own reschedule is never overwritten. Everything it changes is logged and reversible.
- Existing 282 subscribers: their first refill ships as a 90 too (same switch) and moves 4 days earlier; the one after it is set to +86 days.
- Checks: Recharge's own "upcoming order" email (3 days before) follows the new date automatically; the activation email is checked for a fixed day-60 date; after the first few charges I read the charges and shipments back and report the real gap.
Capacity (the part that can break it)
- 90s on hand: 192 (and 75 of the 120s, which cannot be used here). New free-bottle orders run about 17 a day, so the 192 last about 11 days before the first refill is even due. From Nov 25 to Dec 31, 281 existing refills also need a 90. Total need to Dec 31 is roughly 1,400 90s; a restock date is the real deadline.
- Every upgrade is 30 more capsules free per bottle: about $3 more per bottle if a 90 costs about $10 (Shopify's $7.00 is a placeholder).
Needs his word
- Scope: new free bottles AND the 282 existing refills (my reading), or new orders only.
- Who flips the WebBee mapping (or I build the order-edit fallback).
- Email wording (price-free version above).
- 4 days early for the billing lead (adjustable).
- Real 90 stock and restock date.
Hiding the variations (still stands)
Product is in 3 collections, on /collections/all and store search, lists all sizes and prices in /products.json, and is published to Online Store, Shop, POS and Facebook & Instagram. Plan: out of the 3 collections, hidden from store search and the sitemap (seo.hidden), no size picker anywhere, the 120 deny-when-out. Keep the 60 oversell-on (Recharge refills for the 282 subscribers must not be blocked). Leave Facebook & Instagram, Shop and POS alone unless the Meta thread says otherwise.
